SMSWell: a shared patient inbox, scheduled reminders, and a consent log.

Each part a front desk uses to text patients from the office number, and the plan it comes on. Then what SMSWell is not, so nobody buys the wrong thing.

Shared inbox, every plan

One inbox on the office number.

Every patient text lands in one place the whole desk can see. Nobody texts from a personal phone, and nothing waits on one person’s login.

  • The office number

Patients text the number they already call. No staff phone is in the loop.

  • Who sent what

Each reply shows the staff member who sent it, so the next shift can pick up the thread.

  • Seats by plan

3 on Front Office, 10 on Practice, unlimited on Group.

Reminders, Practice and Group

Reminders and confirmations from your appointment list.

You choose how many reminders go out and when. Each send shows its time and delivery status, so a missed reminder is visible the same morning.

Reminder schedule Maple Street Dental

Goes out two days before each visit on the appointment list.

Hi Dana, this is Maple Street Dental. You have an appointment Thursday at 9:30 AM. Text C if you can make it, or R for a new time.

Intake links and templates

Intake links, templates, and more than one location.

  • Intake links

    Practice and Group

Send the form for a patient’s own visit by text, before they arrive. The patient fills it in on their phone.

  • Templates

    Every plan

Saved wording for reminders, confirmations, and common answers. Templates hold a first name, a day and time, and the office name. Clinical detail stays out by default.

  • Several locations

    Group

Several locations in one account, with one shared view across their inboxes.

Consent log, every plan

Each entry has the time and how it happened. If a patient asks whether they agreed to texts, the time is on record. STOP ends texts to that number on every plan. Group can export the log.

Business Associate Agreement

A signed BAA on Practice and Group.

A Business Associate Agreement is the contract a practice signs with a vendor that handles patient information for it. Front Office has no BAA.

What SMSWell signs

  • A BAA with your practice, included on Practice and Group.
  • Templates that keep clinical detail out of texts by default.
  • A log of every opt-in, STOP, and HELP, with times.

What stays with the practice

  • Your compliance program, policies, and staff training.
  • Getting each patient’s consent before you text them.
  • What staff choose to write outside a template.

Limits

What SMSWell is not.

It does one job: patient texting from the office number. It sits beside the systems you already run.

  • Not a practice-management system

It does not book visits or bill insurance. It reads the appointment list you upload or sync.

  • Not an EHR

It holds no charts and no clinical records. Templates keep clinical detail out of texts.

  • Not legal or compliance advice

SMSWell does not make a practice HIPAA compliant. Your compliance program is your own.
